Configure Outlook 2007 for an IMAP or POP Account

IMAP is a protocol that keeps all messages and folders on the server. In addition, IMAP idle is an optional feature of the IMAP protocol that pushes all new messages to Outlook as they are received by the mail server. 

Unlike POP, IMAP offers two-way communication between your SmarterMail mailbox and your email client(s). This means when you log in to the SmarterMail Web interface, actions you performed on email clients and mobile devices will automatically appear in the Web interface (and vice versa).

With POP3, your mail is saved in a mailbox on the remote server until you check your mail. When you check your mail, all of the mail is downloaded to your computer and is no longer maintained on the server. 

If you use POP3 and are traveling or check your mail from multiple locations, you will not be able to view any of your old mail because the messages only exist on the computer on which you originally received your mail. 

The use of IMAP is strongly recommended for anyone accessing SmarterMail from multiple e-mail accounts.

 

To setup your Outlook 200 Desktop Client, please follow these instructions:

  • Open Microsoft Outlook
  • From the Tools menu, choose E-Mail Accounts.
  • Select Add a new e-mail account
  • Click the Next button.

Now Outlook will ask for some server settings.

You have 2 choices about how you want Outlook to handle your mail: IMAP and POP3

If you want to be able to check your e-mail from several locations, without downloading the messages from the mail server, then choose IMAP. Note than choosing IMAP will cause you to use more space on the e-mail server and may incur additional monthly fees.

If you want to use Outlook and download the messages to your local machine, then choose POP3. POP3 is discussed immediately below the IMAP settings.


IMAP: This option tells Outlook to sync with the server. It will download the mail headers and folder maps to your local computer, but it also leaves the actual mail on the e-mail server.

When you send email or create folders everything is synced on the server. By choosing IMAP all of your mail is always on the server and on your computer. This is very convenient if you also need to access your email from our WebMail service, or if you want to sync your mail to another computer or your Mobile Device (phone etc).

Setting up IMAP:


Select IMAP
  • Click the Next button
  • In the Your Name field, type your name.
  • In the E-mail Address field, type your full email address (IE: username@yourdomain.com).
  • In the Incoming mail server field, type: mail.netlou-secure.com
  • In the Outgoing mail server (SMTP) field, type: mail.netlou-secure.com
  • In the User Name field, type your full email address name@yourdomain.com)
  • In the Password field, type your e-mail account password.
  • Now we need to tell Outlook how to send your e-mail.
  • The next four steps are very important. If you are unable to send email then please check that you have done everything in this section: 

    • Click the More Settings button.
    • Click on the Outgoing Server tab.
    • Check the box next to: My outgoing server (SMTP) requires authentication.
    • Select: Use same settings as my incoming server.

  • Click on the Advanced tab.
  • For the Outgoing Server, click on This Server Requires an Encrypted Connection (SSL)
  • For Outgoing server (SMTP) enter port # 465
  • For the Incoming Server, click on This Server Requires an Encrypted Connection (SSL)
  • For the Incoming Server (IMAP), enter port # 993
  • Click the OK button.
  • Click the Next button.
  • Click the Finish button
  • Repeat the process on each device you wish to access your e-mail account.

POP3 - This option tells Outlook to download only the e-mail in your IN BOX. Sent mail, deleted items, spam, and any personally created folders are not downloaded from the mail server. POP3 downloads the complete e-mail message to local computer and it is no longer available on the e-mail server to be accessed via webmail.

Setting up POP3:

  • Select POP3
  • Click the Next
  • In the Your Name field, type your name.
  • In the E-mail Address field, type your full email address (IE: username@yourdomain.com).
  • In the Incoming mail server field, type: mail.netlou-secure.com
  • In the Outgoing mail server (SMTP) field, type: mail.netlou-secure.com
  • In the User Name field, type your full email address (IE: name@yourdomain.com)
  • In the Password field, type your email account password.
  • Now we need to tell Outlook how to send your e-mail.
  • The next four steps are very important. If you are unable to send email then please check that you have done everything in this section: 
    • Click the More Settings button.
    • Click on the Outgoing Server tab.
    • Check the box next to: My outgoing server (SMTP) requires authentication.
    • Select: Use same settings as my incoming server.
  • Click on the Advanced tab.

  • For Outgoing server (SMTP) enter port # 465
  • For the Incoming Server, click on This Server Requires an Encrypted Connection (SSL)
  • For the Incoming Server (POP3), enter port # 995
  • Should you desire to leave a copy of your incoming messages on the mail server, then scroll down to the bottom of the ADVANCED tab and select the box for LEAVE A COPY OF THE MESSAGES ON THE SERVER.
  • Click the OK button.
  • Click the Next button.
  • Click the Finish button
